Live Window, Removal and Conduct Policy
How long posts stay up, how removal requests work, and the program conduct rules.
Draft, awaiting attorney review
This document is a working draft published so you can see how Campus Voices works. It has not been reviewed by our attorney yet and may change. Items in [brackets] are still to be filled in.
Summary. Each approved post stays up for a set number of days (the Live Window, 30 by default). After that the Creator may delete it, and the University's license to reuse it continues. If the University or Campus Voices asks for a post to come down, the Creator removes it within 24 hours, or within 4 hours for urgent cases, and is still paid. A Creator may take a post down at once for their own safety. The Program Conduct Policy is narrow: it covers the sponsored content, fraud, harassment of people in the Program, lying to us or the University, and very serious public conduct. It does not cover personal posts, opinions or politics. Problems go warning, then pause, then removal, with notice and a chance to respond, and earned fees are paid unless obtained by fraud.
Version: 0.1 (draft). Owner: TTplus10 Inc., doing business as Campus Voices and Campus Voices Media ("Campus Voices", "we"). Applies to every Creator, every University in a Program, and Campus Voices staff. The Creator Agreement (02-creator-agreement.md, drafted in parallel) incorporates this policy; if they conflict, the Creator Agreement controls.
Part A. The Live Window
1. Mechanics
1.1 Length. Each Brief states the Live Window in days (Brief.liveWindowDays). The default is 30 days. The Creator sees the Live Window before accepting the Brief, and it cannot be lengthened after acceptance without the Creator's written agreement and any extra fee the Brief states.
1.2 Start. The Live Window starts when the post went live on the platform (PublishedPost.liveFrom). By default this is the posting time the Creator reports (postedAt). At verification, staff compare it to the platform's own date on the post and correct it if needed. It can never be in the future. It does not restart if verification happens days later.
1.3 End. The Live Window ends at requiredLiveUntil = liveFrom + liveWindowDays x 24 hours, as the software computes it today.
1.4 Reposts. If a post had to be deleted and reposted to fix a disclosure or audio problem before verification, the Live Window runs from the repost.
1.5 During the Live Window the Creator must: keep the post public; not edit the caption's disclosure or required elements; not archive, hide, restrict to friends, or delete it; and not turn off the platform's paid partnership label. Normal replies to comments are fine. The Creator may limit or turn off comments for safety without asking.
2. How we check (manual)
2.1 Campus Voices has no API access to Creator accounts. All checks are manual: staff open the post URL, ideally logged out or in a private window, and record the result in the app (recordLiveCheck), which writes to the audit log.
2.2 Check schedule.
| Live Window | Checks |
|---|---|
| 30 days | At verification (day 0); day 7; day 21; final check within 3 business days after requiredLiveUntil |
| 60 days | Day 0; day 7; day 21; day 45; final check within 3 business days after the end |
| 90 days | Day 0; day 7; day 21; day 45; day 75; final check within 3 business days after the end |
Staff may check more often. The minimum is the schedule above.
2.3 What staff record at each check: live or gone; the start of the caption still carries the disclosure (see 08-disclosure-policy.md section 10); the paid partnership label is still on. At the final check a live post is recorded as WINDOW_COMPLETE.
2.4 If the post is gone before the end. The software records removedEarly = true unless the window is over or a removal was requested. Staff then message the Creator to ask what happened before drawing any conclusion. Platform action, account hacks and safety removals (section 9.1) are not early deletion by the Creator.
3. After the Live Window
3.1 The Creator may delete, archive or keep the post. Campus Voices sends a short in-app note: "Your Live Window for [Brief] is complete. You may keep or remove the post."
3.2 The Organic License to the University and the Campus Voices license survive deletion. Version B stays in the University's library.
3.3 The Creator's obligation to cooperate with removal requests continues while the post is live, and for 12 months after the Creator leaves the Program for content still live.
4. Early deletion without permission
4.1 The fee is earned at verification and is not clawed back.
4.2 Early deletion without permission, and without a reason in section 2.4, may make the Creator ineligible for future Briefs. First time: a written reminder, no other effect. Second time within 12 months: Campus Voices may stop offering Briefs to that Creator. This is an eligibility decision, not a Conduct Policy sanction, and it does not affect earned fees.
5. Choosing 30, 60 or 90 days (guidance for Campus Voices and the University)
| Window | Best for | Tradeoffs |
|---|---|---|
| 30 days (default) | Most posts: events, campus life, timely announcements | Most short-form views arrive in the first days, so 30 days captures most organic reach. Lowest burden on students. Lowest chance that the Creator's life changes (graduation, leaving the Program) during the window. |
| 60 days | Evergreen explainers: housing, dining, how-to, admissions tips that stay relevant for a term | More time in profile grids and search. More live-window checks. Slightly higher fee expectation. Higher chance a fact goes stale, which means more correction requests. |
| 90 days | Content tied to a long cycle, such as an application or deposit season | Most burden on Creators, most staff checks, and the highest chance of removal requests, stale facts and term changes. Consider paying more. Do not exceed 90 days for organic posts in V1. |
5.1 Rules of thumb: pick the shortest window that covers the event or deadline the post supports; never set a window that runs past a known deadline in the post (a post about a May 1 deadline should not have to stay up until June); and remember the University's Organic License already lets it keep using Version B after the window ends, so a long window buys only presence on the Creator's own profile.
5.2 The Live Window is separate from the Paid Media Rights Addendum term (default max 90 days), which has its own dates.
Part B. Removal requests
6. Removal requested by the University or Campus Voices
6.1 Who may request. University staff with library access and the right role, and Campus Voices staff (as the software allows today). Every request must give a reason in at least one sentence, which the Creator sees.
6.2 Standard removal. The Creator removes the post within 24 hours of notice.
6.3 Urgent removal. Target 4 hours from notice where reasonably possible, or as soon as the Creator sees the notice. A request is urgent only if it falls into one of these categories, which the requester must select:
| Code | Urgent category | Examples |
|---|---|---|
| U1 | Safety | Reveals where someone lives or will be; a person in the video is being harassed or threatened because of it; a stalking or doxxing risk. |
| U2 | Legal | A copyright or trademark claim; a privacy violation (ID, room number, private screen visible); a featured person without a release; an identifiable minor as a subject; filming in a prohibited location; a post missing the required ad disclosure; a defamation complaint. |
| U3 | Factual error with harm | A wrong deadline, cost, financial aid or health or safety fact that could cause someone to act to their detriment. |
| U4 | Crisis | A campus emergency or tragedy that makes the post insensitive or harmful right now. |
Anything else is standard. A requester who marks a standard request as urgent is asked to change it; Campus Voices may downgrade it.
6.4 Flow.
| Step | Who | What | Recorded |
|---|---|---|---|
| 1 | University (or Campus Voices staff) | Clicks Request Removal, chooses standard or urgent (with category), writes the reason. | Audit log post.removal_requested, reason, urgency, due time. |
| 2 | Software | Notifies the Creator in the app, by email, and by text message, with the reason, the due time and the sentence "Your payment for this post is not affected." Notifies Campus Voices staff. | Notification records. |
| 3 | Creator | Deletes the post (or, if the requester allows, archives or hides it so it is no longer public). Taps "I removed it". | Creator acknowledgement time. |
| 4 | Campus Voices staff | Opens the URL and confirms the post is gone. Marks it removed. | Audit log post.removed; the University requester is notified. |
| 5 | Campus Voices | Tells the University whether it also needs to stop reposting Version B (for U1, U2 and U3 it usually should). | Audit log note. |
6.5 Payment. A removal requested by the University or Campus Voices never reduces or delays the Creator's payment for an earned post. If the post was not yet verified, staff verify it from the record (screenshot, URL history) or accept alternative proof, and pay on the normal schedule: within 15 days after verification and never later than 30 days after the Creator submitted the live URL (Creator Agreement Sections 5.3 and 5.4).
6.6 After the Creator leaves. The Creator's duty to act on removal requests continues for 12 months after leaving the Program for content still live. Campus Voices keeps the Creator's email and phone for this purpose during that period.
7. Escalation when the Creator cannot be reached or refuses
7.1 Timeline.
| Elapsed since notice | Standard request | Urgent request |
|---|---|---|
| 0 | In-app, email and text | In-app, email and text |
| 1 hour | Phone call from Campus Voices staff; second text | |
| 3 hours | Second phone call; second email to the Creator's personal address (never the school address, which Campus Voices does not use for Program contact) | |
| 4 hours (urgent overdue) | Campus Voices tells the University; University stops reposting Version B; Creator paused from new Briefs | |
| 12 hours | Second email and text | Continue contact attempts every 4 hours while awake hours allow |
| 20 hours | Phone call | |
| 24 hours (standard overdue) | Campus Voices tells the University; University stops reposting; Creator paused from new Briefs | |
| 72 hours | Written notice of removal from the roster if still not removed or answered | Same, at 48 hours |
7.2 If the Creator refuses. Campus Voices asks for the reason in writing. If the Creator raises a genuine concern (for example the request looks retaliatory for the Creator's opinion in the post), the founder reviews it. Otherwise the Creator is removed from the roster.
7.3 Realistic remedies.
- (a) Campus Voices cannot remove content from a Creator's account itself and will never ask for, or use, a Creator's password.
- (b) The University may stop reposting the asset on its own channels, at once.
- (c) Report to the platform only when the content actually breaks the platform's rules or someone's rights (for example privacy, a minor, a real copyright or trademark claim by the actual rights holder, harassment). Never file a false report or a copyright notice for content the Creator owns.
- (d) Remove the Creator from the roster.
- (e) Under the Creator Agreement (Section 18.5), injunctive relief or specific performance. The Creator Agreement does not seek money damages from a student in ordinary cases.
- (f) For U1 safety cases involving a threat, contact campus or local police if someone is in danger, regardless of the Creator's response.
8. Corrections instead of removal
8.1 For factual errors that are not urgent, Campus Voices first offers a correction:
- (a) Instagram: edit the caption to correct the fact, keeping the disclosure first.
- (b) TikTok: pin a comment with the correction, and edit the caption if TikTok allows it on that post [verify current TikTok caption editing].
- (c) If the error is spoken or on screen, the video cannot be edited after posting. The options are a pinned correction comment, or removal and a corrected repost.
8.2 Who pays for corrections. If the Brief was wrong, Campus Voices corrects, the Creator is still paid for the original post, and the Creator makes the correction edit or removal on request. A corrected repost that needs a reshoot is offered as a new assignment with its own fee [founder to confirm the fee rule]. If the Creator got the fact wrong despite a correct Brief, the Creator fixes it on request at no extra fee.
9. Creator-initiated removal
9.1 Safety. A Creator may remove a Program post at any time, without asking first, if the Creator believes in good faith that keeping it up puts their safety or someone else's at risk (for example harassment, threats, doxxing, a stalker). The Creator tells Campus Voices within 24 hours through the app or email. This is never early deletion, the fee stands, and eligibility is unaffected. Campus Voices offers help: reporting harassment to the platform, and pointing to campus safety and support resources.
9.2 Courtesy takedown by the University. For serious personal safety reasons the Creator may also ask the University (through Campus Voices) to stop new uses of that asset. The University will use reasonable efforts to remove it from active channels within 10 business days. This is a good-faith commitment, not a revocation of the Organic License. Campus Voices forwards the request within 1 business day, without sharing more personal detail than the University needs.
9.3 Other reasons during the Live Window. A Creator who wants to take a post down early for a non-safety reason (for example they no longer like it) asks Campus Voices. We will usually agree. With permission it is not early deletion. The University's license is unaffected.
9.4 After the Live Window. No permission needed (section 3).
10. Platform removes the post or suspends the account
10.1 If the post was already verified, the fee stands and the licenses apply. If the platform removed the post or suspended the account before verification, through no fault of the Creator, the Assignment is treated as cancelled after Approval: the Creator is paid 100% of the Fee as a kill fee (Creator Agreement Sections 5.7(c) and 5.9), and no license is granted in that content because the post was never verified (founder resolutions 3 and 5). There is no penalty to the Creator for a platform action they did not cause.
10.2 If the platform acted because the Creator broke this policy or the music policy (for example a trending song), section 13 and the conduct ladder apply, but earned fees are still paid.
Part C. Program Conduct Policy
11. Scope (what the Conduct Policy covers)
11.1 Only these five areas:
- (a) The sponsored content itself: following the Brief, the disclosure policy, the music policy, the privacy and featured-person rules, and approval before posting.
- (b) Fraud: fake enrollment; fake engagement; buying views, likes or followers; reposting someone else's work as your own; falsified attestations.
- (c) Harassment, threats or discrimination toward other Creators, Campus Voices staff or University staff.
- (d) Material misrepresentation to Campus Voices or the University.
- (e) Serious public conduct: public conduct so serious that continuing the Program association would materially harm the Program (for example criminal charges for violence, or hate speech that goes viral). Decided case by case with notice and a chance to respond.
12. What is not policed
12.1 Campus Voices does not police, monitor or act on:
- (a) the Creator's unrelated personal posts, on any account;
- (b) opinions, including negative opinions about the University or Campus Voices posted outside Program content;
- (c) political, religious or social views, affiliations or activity;
- (d) lawful personal conduct, relationships, appearance, or lifestyle;
- (e) work for other brands, schools and competitors, at any time (subject only to the rule that a single post may not be sponsored by two institutions at once, Creator Agreement Section 3.2);
- (f) complaints the Creator makes about Campus Voices or the University to anyone, including regulators, the school, or the press;
- (g) the Creator's participation in any legally protected activity.
12.2 Campus Voices does not routinely review Creators' personal accounts. Area 11.1(e) is triggered only by a specific report or a matter that is already public and widely known.
12.3 No action is taken because of a Creator's race, color, religion, sex (including pregnancy, sexual orientation and gender identity), national origin, age, disability, veteran status, or any other characteristic protected by law.
13. The step ladder
| Step | When | Effect |
|---|---|---|
| 1. Warning | First breach of 11.1(a), or minor 11.1(d) | Written warning in the app and by email. Stays on file 12 months. |
| 2. Pause | Second breach within 12 months, a serious single breach, or an immediate pause case | No new Briefs offered. Accepted assignments with an already approved draft may be posted and paid unless the pause concerns that post. Other accepted assignments may be reassigned (with the kill fee rules in the Creator Agreement). Pause length stated in the notice, normally up to 30 days. |
| 3. Removal from roster | Breach after a pause, deliberate or repeated posting before approval, proven fraud, serious harassment, or an 11.1(e) decision | Creator Agreement ends for future work. Surviving terms continue (licenses for paid content, earned fees, confidentiality, removal cooperation for 12 months for content still live). |
13.1 Campus Voices may skip steps for serious breaches, but must explain why in the notice.
13.2 Immediate pause (before the Creator responds) is allowed only for 11.1(b) fraud, 11.1(c) harassment, threats or discrimination, or a safety risk. The Creator is told the same day and may respond after the pause starts.
14. Notice and chance to respond
14.1 Before any step (except an immediate pause, where it follows), Campus Voices sends a written notice by in-app message and email stating: what happened, the facts relied on, the rule in section 11 it falls under, the step proposed, and how to respond.
14.2 The Creator has 5 business days to respond in writing (2 business days after an immediate pause starts, with the pause continuing meanwhile). The Creator may send evidence.
14.3 Campus Voices decides within 5 business days after the response period and sends the decision in writing with reasons.
14.4 Appeal. The Creator may appeal to the founder within 10 business days of the decision by email to hello@campusvoicesmedia.com. The founder decides within 10 business days, in writing. The founder's decision is final within Campus Voices, without affecting any legal rights the Creator has. If the founder made the original decision, the founder reviews it fresh on the appeal record [counsel: see Notes item 8].
14.5 All notices, responses, decisions and appeals go into the audit log.
15. Effect on fees
15.1 Earned fees (approved, posted, verified) are paid regardless of any Conduct Policy step, unless the fee was obtained by fraud (for example fake enrollment or a post that was not the Creator's own work).
15.2 Where fraud is proven, Campus Voices may withhold unpaid fees tied to the fraud and may seek return of fees paid for the fraudulent posts. This is the only case where money already paid may be sought back.
15.3 Kill fee and cancellation rules in the Creator Agreement apply to assignments reassigned during a pause or after removal.
15.4 A kill fee never creates a license. Only Approved Content that was posted, verified and paid is licensed (founder resolution 3). In a paid Program, a kill fee caused by the University (for example the University cancels, or will not approve a Draft Campus Voices has decided met the Brief) is charged to the Creator Budget at cost and reported; a kill fee caused by Campus Voices is absorbed by Campus Voices (founder resolution 6).
Part D. Creator-side failure scenarios
Clause references are to 02-creator-agreement.md as drafted in parallel on September 23, 2026; confirm numbers when both drafts are final.
| # | Scenario | Outcome | Where it lives |
|---|---|---|---|
| 1 | Creator accepts a Brief but never submits | Assignment cancelled after the due date plus 2 days' notice. No fee. No penalty for a first time; repeated late releases or missed deadlines (more than [2] in one term) may reduce offers. Not a conduct matter. | Section 4 How opportunities work (4.3 Deadlines, 4.4 Releasing an Assignment); Section 5.7 Kill fees (creator cancels: no fee) |
| 2 | Draft unusable (does not meet the Brief after 2 revision rounds) | Rejected, no fee. Creator keeps full rights in the unapproved content, and no license is granted. Campus Voices may keep a record copy for 90 days after the assignment closes, then deletes it. | Section 8 Approval (8.3 Revisions); Section 10 Ownership; Section 25 Privacy |
| 3 | Creator posts before approval | Not paid. Must remove within 24 hours of request. First time: warning. Deliberate or repeated: removal from roster. | Section 8 Approval; Section 21 Program conduct (21.1(a), 21.3); section 13 of this policy |
| 4 | Creator deletes early without permission | Fee stands if earned (no clawback). Reminder first time; may lose eligibility for future Briefs on a second time within 12 months. | Section 17 Live Window (17.2 Early deletion); section 4 of this policy |
| 5 | Platform removes the post or suspends the account | Verified: fee stands. Not verified, through no fault of the Creator: treated as cancelled after Approval (100% kill fee), no license. No penalty unless the Creator caused it by breaking a policy. | Section 5.9 Platform removes a post or suspends your account; Section 5.7 Kill fees; section 10 of this policy |
| 6 | Creator lied about enrollment | Immediate pause, notice, removal from roster. Unpaid fees withheld; fees paid for posts made while ineligible may be sought back as fraud. Campus Voices tells the University the Creator's content should stop being reused if the University's guidelines require enrolled students [counsel]. | Section 2 Eligibility; Section 21 Program conduct (21.1(b), 21.4, 21.5); section 15.2 of this policy |
| 7 | Creator demands deletion of licensed content (Version B, University reposts) | The Organic License is perpetual and irrevocable once paid; the University is not required to delete. For serious safety reasons, the courtesy takedown (10 business days, reasonable efforts). The Creator may always delete their own post after the Live Window, or at once for safety. Privacy-law deletion requests are handled under the privacy policy, subject to licenses already granted. | Section 10 Ownership; Section 12 Organic License to the University (12.10 Courtesy takedown); Section 25 Privacy (25.3); section 9 of this policy; 13-privacy-policy.md |
| 8 | Third-party rights claim (a featured person, a business, a trademark owner) | Handled by Campus Voices; Creator told the same day; urgent removal if category U1 or U2. If the Creator breached a rule, Creator indemnity capped at fees received for that post except intentional misconduct; if the University's material caused it, University indemnity. | Section 15 Other people and releases; Section 22 Warranties and limited indemnity; section 6 of this policy |
| 9 | Copyright takedown (music, clip) | Follow 09-music-and-content-rights-policy.md section 8: Creator reports within 24 hours; Campus Voices triages within 2 business days; asset marked revoked if upheld. Fee stands if verified. Conduct warning if the Creator broke the music policy; 2 upheld claims in 12 months means removal. |
Section 16 Music and intellectual property (16.6 Copyright complaints); Section 22 Warranties and limited indemnity; 09-music-and-content-rights-policy.md section 8 |
| 10 | University will not approve a Draft that Campus Voices decides met the Brief | A revision request must name a specific Brief requirement or rule the Draft fails. If Campus Voices decides the Draft met the Brief and the University still will not approve it, the Assignment is treated as cancelled after a conforming Draft: 50% kill fee, charged to the Creator Budget, no license. | Section 8 Approval (8.3 Revisions); Section 5.7 Kill fees; section 15.4 of this policy |
